Under the direction of the Medical Director of the Adult Hospitalist Program, performs various clerical and office coordination duties to provide support to the Adult Medical and Surgical Hospitalist Programs.
Collaborates with the Medical Director, Hospitalists, and NWH staff in pioneering components of the newly created Office Coordinator/Administrative Assistant position.
Support the hospital-based practices of the Adult Medical and Surgical Hospitalists by handling all program inquiries, maintaining files and medical records, ordering supplies, ad coordinating communication with various community Attending Physicians, and other Hospital departments.
Serve as administrative assistant to the ambulatory practice of the Surgical Hospitalist, including scheduling and confirming appointment, arranging laboratory evaluations and referrals to other physicians, receiving patients and assisting in the patient flow during their office visits, post-operative care, and follow-up encounters.
Coordinate the operative schedule of the Surgical Hospitalist including scheduling of procedures, arranging any necessary preoperative evaluation of patients, and obtaining any necessary insurance/managed care pre-authorizations.
Serve as the liaison to the Hospitalist billing company, to ensure prompt communication of billing information and coordination of periodic revenue reporting from the billing company, and serve as the liaison to the NEW Manager of Payer Contracting to assist in timely completion of all necessary insurance/managed care enrollment and re-credentialing application.
Prepare and maintain benefit and payroll related records for the Adult Medical and Surgical Hospitalist practices, including processing of CME and professional expense reimbursement allowances.
Assist in the preparation and coordination of the Adult Medical Hospitalist work schedule.
Coordinate back-up coverage for certain administrative areas at NWH.
Coordinate the hiring of new staff with HR and Medical Affairs, including orientation, EHS, IT, and credentialing.
Coordinate and schedule administrative, group, and committee meeting for the Adult Medical and Surgical Hospitalists, and attend as needed.
Develop and prepare ongoing data analysis. create summaries of patient encounters to provide program validation and performance profiles.
Routine Meditech input of all Hospitalist billing charges. perform periodic analysis to evaluate effectiveness of charge capture relative to physician workload.
Undertake special projects as needed to meet the scope of ever-changing requirements of the Adult Hospitalist Program, such as designing and implementing a Surgical Hospitalist Assistant Superbill.
Education / Experience
High School Diploma or equivalent required.
Knowledge of insurance pre-certification procedures
Must have excellent typing and organizational skills
Must have knowledge of computers and medical terminology
Proficient in Microsoft Word and Excel
Three years previous Secretarial/Admin Asst. and supervisory experience preferred
